Good morning sir, I reviewed your chart this morning and wanted to recap and explain our scheduling process. Upon reviewing your chart one of our surgery coordinators did call you as promised and was able to get you scheduled for your requested dates. We do have three coordinators but on that particular day and the day after there were only two in the office. When one of them is out, the workload doesn't wait for the coordinator to come back, the other two are responsible for taking that on. I understand she was to call you back later that day (Monday, 9/9) but was unable to and wasn't able to take your call that afternoon or the next day due to the patient demand in the office. Tuesdays are our busiest clinic days as it is the only day we actually have all three doctors in, so as you can imagine with three doctors in and only two of our coordinators it can get a little hectic.
The coordinators always schedule surgeries in order of exam date. Sometimes, depending on the time of year and the number of patients, it may take a week for the surgery coordinators to reach out, but they do keep an active list and every patient is indeed called in order. We do not schedule based off of self pay vs. insurance, we ensure excellent care and follow up to all of our patients. The main focus for us was to make sure we could accommodate your requests for surgery dates, which we did. The follow up to discuss instructions and prep was not of an urgent nature. With most facilities, hospitals and ASC's sometimes the phone call to discuss prep and instructions isn't made until days before the procedure.
I apologize if you feel you were not a priority or if our process was not made clear to you. Again, our ultimate goal for each surgical patient after their initial exam is to accommodate their schedule request and get their dates on the books as soon as possible.
